What to look for when using an event planning company to assist in planning your family event at a conference.

High standards of children’s programs should be reflective of high standards equivalent to adult programs. No matter who plans the family-based children’s program there are some important details to reflect upon before embarking on choosing the company for implementation.
  • Find out if children’s activities can reflect the theme of adult programs.
  • Is there flexibility to design children’s programs to meet your families and event requirements? If your client does extensive traveling and you have planned a high end experientially-based program for the adults, chances are the kids are not going to be happy with sitting in a room, eating pizza and watching a movie. How creative are the programs?
  • Is the conference planner for the family event familiar with the developmental needs of children and plan accordingly? What is great for a one year old does NOT apply to the 11 and 12 year old children in the program and vice versa.
  • Check the credentials of companies who plan programs and care for your children:
    • How long have they been in business?
    • Do they have credible references? It is important to ensure they are checked.
    • Do they carry liability insurance? If they are using 3rd party service providers, are they also insured?
    • What are the ratios when the program offers childcare? The child/caregiver ratios should allow for individualized care for children who are unfamiliar with their surroundings. The child/caregiver ratios should not exceed recommended ratios:
      1 caregiver for 2 children under 3 years of age;
      1 caregiver for 5 children between 3 and 11 years of age;
      1 caregiver for 10 children for children and teens 12 years and older

      Note: There is no legislation regarding staff/child ratios for temporary programs. These ratios are recommended by Jan Pat Management Organization Conference Program Services for Children, conference planners dedicated to developing quality programs for families and their children attending conferences.
  • What are the screening and interviewing policies of caregivers?

These are all important questions to ask and the quality of the family program will be reflected in the care family members receive.
